Terms and General Information

Before booking a tour, we recommend carefully reviewing the itinerary, payment and cancellation terms, as well as the general information below. Registration for and participation in a tour constitutes the traveller's acceptance of these terms. If the conditions stated on a specific tour page or booking confirmation differ from this general information, the conditions of the specific tour shall take precedence.

All provisions relating to cancellation and refunds are subject to the Israeli Consumer Protection Law, applicable consumer protection regulations and other mandatory legal provisions wherever they apply to the relevant transaction.

Booking and Tour Cancellation

A registration fee of US$47, including VAT, is charged upon registration. Under CoolTourA's current terms, this registration fee is non-refundable, subject to any mandatory provisions of applicable consumer protection law.

Cancellation charges for land arrangements:

  • Cancellation no later than 5 business days before the start of the tour — no cancellation charge for land arrangements.
  • For tours to Thailand and Portugal, the corresponding period is 7 business days.
  • For tours to the USA, Morocco, China and Japan — 10 business days.
  • For tours to Canada and the Rocky Mountains, Russia and the Baltic States — 14 business days.
  • Cancellation less than the applicable 5, 7, 10 or 14 business days before departure — 50% of the cost of the land arrangements.
  • In the event of a No Show, full cancellation charges apply.

Cancellation charges for flights departing from and returning to Tel Aviv:

  • 46 days or more before departure — no cancellation charge;
  • 31–45 days before departure — US$750;
  • 22–30 days before departure — US$1,250, or full cancellation charges on tours where the airfare is US$850 or less;
  • 0–21 days before departure — full cancellation charges.

Domestic flights:

  • 31 days or more before departure — no cancellation charge;
  • 0–30 days before departure — full cancellation charges.

Additional amounts charged by airlines for domestic or other flights may also apply, subject to the relevant airline's cancellation policy.

Transferring from one tour to another less than 21 days before departure is treated as cancellation of the original tour and may result in the cancellation charges specified above.

The effective cancellation date is the date on which written notice of cancellation is received at the organiser's office.

If travellers are notified of a change to the tour programme before departure, CoolTourA's current terms provide the right to cancel the tour within 72 hours of receiving notice of the change without cancellation charges.

Where Israeli consumer protection legislation applies, cancellation shall be handled in accordance with the Consumer Protection Law of 1981, the Consumer Protection (Cancellation of Transaction) Regulations of 2010 and, in the case of distance-selling transactions, the applicable provisions of Sections 14C–14E of the Consumer Protection Law. In such cases, cancellation charges shall not exceed the maximum amount permitted by law.

For the purpose of CoolTourA's current terms and the periods stated above, business days are Monday, Tuesday, Wednesday and Thursday.

Cancellation by the Organiser and Group Size

The organiser may cancel a tour for reasons beyond its control or where, in the organiser's judgment, the number of participants does not justify operating the tour. In such circumstances, the traveller may be offered participation in another tour or receive a refund of the deposit paid, in accordance with the current terms.

The organiser also reserves the right to combine travellers with participants from a parallel group for individual sections of a tour where the programme for that section is identical to the original itinerary.

Unless otherwise stated in the description of a specific tour, operation of a group tour is based on a minimum of 25 participants. The actual maximum number of participants may be determined by the seating capacity of the tour coach used for the trip.

Travel Documents and Entry Requirements

Each traveller is responsible for holding valid travel documents. Under CoolTourA's current terms, the passport must remain valid for at least six months from arrival in the first destination city. Travellers should also note that passport validity requirements are determined by destination and transit countries and may vary.

Visa and entry requirements may differ depending on citizenship, type of travel document, destination and itinerary. This is particularly important for residents of Israel who hold dual citizenship, a foreign passport, an Israeli travel document or another special status.

Travellers using foreign passports are responsible for verifying the entry requirements of all countries included in their itinerary. CoolTourA sales representatives are not authorised to provide official guarantees regarding entry conditions for non-Israeli passports unless such information is provided to the traveller in an official written form.

If CoolTourA undertakes to arrange a required entry visa for a particular tour, this service applies only to holders of Israeli passports and must be specifically included in the tour conditions. In all other cases, obtaining the necessary visas is the responsibility of the traveller and/or the travel agent unless explicitly stated otherwise.

Where required by the authorities of the destination country, travellers must also ensure that their passports contain the necessary number of blank pages. CoolTourA's current terms refer to three consecutive blank pages where this is required by the local authorities.

We recommend checking the current requirements of the airline, the relevant consulate and the official authorities of the destination country before travelling. The final decision regarding admission to a country is made by its border authorities.

Travel Medical Insurance

We strongly recommend obtaining travel medical insurance covering the entire trip, including the day of departure from Israel and the day of return.

Because cancellation charges can be substantial, we recommend purchasing insurance immediately after booking and, where possible, including cover for trip cancellation or early termination of the journey.

When choosing a policy, please take into account your age, medical condition, pre-existing conditions and planned activities, as well as possible coverage for flight delays or cancellations, lost baggage and other travel risks.

Flights and Baggage

Flight times, airlines, airports and baggage allowances depend on the specific tour and airfare conditions. Airlines may change flight schedules, aircraft types and other flight details.

We recommend checking the latest flight information and baggage rules before leaving for the airport. Additional baggage, seat selection and other airline services may require an additional payment unless otherwise stated in the tour description.

Tour Itinerary

We make every effort to operate each tour according to the itinerary published on our website. However, the order of excursions, visiting times and individual elements of the itinerary may change due to operational requirements, flight schedules, weather conditions, traffic, local holidays, opening hours of museums and attractions, or other circumstances beyond the organisers' control.

If a planned visit becomes impossible, a suitable alternative will be offered whenever possible, or the itinerary will be adjusted accordingly.

Participation in the Tour

The organiser may refuse or cancel a traveller's registration where, in the organiser's judgment, that person's participation may interfere with the proper operation of the tour.

The organiser may also terminate a traveller's participation where their behaviour substantially disrupts the tour or interferes with other participants. In such circumstances, any refund for the unused portion of the tour, where applicable, will be calculated in proportion to the remaining days and less expenses actually incurred by the organiser.

Age and Group Composition

Unless otherwise stated for a particular tour, tours are open to the general public. The company does not guarantee that a group will be uniform in terms of age, physical ability or health condition.

Where an age category is mentioned in connection with a tour, it should be regarded as a recommendation unless the conditions of that particular tour expressly state otherwise.

Solo Travellers

Travellers joining a tour alone are advised to book a single room. Where a room-sharing arrangement is made, CoolTourA may match travellers by gender but cannot guarantee compatibility in terms of age, habits, interests or other personal characteristics.

If an assigned roommate cancels before departure, the remaining traveller may be required to pay the applicable single-room supplement.

Hotels

Hotels are specified in the itinerary of each tour. In certain circumstances, a hotel may be replaced by another hotel of a similar or higher category.

Hotel ratings are based on the local classification system of the destination country and may differ from standards commonly used in Israel.

Rooms within the same category may differ in size, location and facilities. Special requests such as twin beds, a particular floor, a specific view or adjacent rooms will be forwarded to the hotel but cannot be guaranteed unless specifically confirmed.

Meals

The meal plan included in each tour is specified in the tour description. Drinks during lunch and dinner are generally not included unless explicitly stated otherwise.

If you require kosher, vegetarian, gluten-free or other special meals, please inform us when booking. Availability depends on hotels, restaurants and airlines and must be confirmed separately.

Excursions and Free Time

The tour price includes the services specifically listed under the “Included in the Price” section. Optional excursions, entrance fees, activities, meals and other services not listed there may require additional payment.

During free time, travellers are responsible for their own activities, purchases and visits, and for returning to the agreed meeting point on time.

Transportation During the Tour

Where the programme includes a tour coach, it is provided for transportation, excursions and journeys specifically included in the published tour itinerary.

The driver is not required to provide transportation during free days or evenings to entertainment venues, attractions, optional excursions or other activities that are not included in the published programme unless specifically stated otherwise.

Refunds for Unused Services

Once the tour has begun, no refund will generally be made for services that a traveller chooses not to use. This includes, among other things, missed excursions or parts of excursions, unused sections of the itinerary, meals, hotel accommodation, entrance tickets and other services included in the tour price.

A guide, tour escort, local representative or other person who has not been specifically authorised to do so may not independently promise refunds or agree to changes in the financial terms of the tour.

Travelling with Children

When travelling with minors, please check in advance the requirements of Israel, the destination country, transit countries and the airline regarding the child's travel documents and any authorisations required for departure or accompanying the child.

Departing from Israel

Ben Gurion Airport can be particularly busy during Israeli holidays, school holidays and peak travel periods. We recommend arriving at the airport well in advance and allowing sufficient time for check-in and security procedures.

Please also keep in mind that public transport and other services in Israel may operate differently before Shabbat and Jewish holidays.

Travellers with Reduced Mobility

Many sightseeing tours involve extended walking, stairs, historic city centres and locations where accessibility may be limited. If you require mobility assistance or special equipment, please inform us before booking so that the suitability of the specific itinerary can be checked in advance.

Changes and Unforeseen Circumstances

Flight schedules, entry requirements, opening hours of tourist attractions and other travel conditions may change. If circumstances beyond the reasonable control of the tour organisers occur, the itinerary may be adjusted according to the actual situation and the options available at the destination.

Before You Travel

Before departure, we recommend checking your passport and required documents, insurance policy, flight details, meeting time and location, baggage allowance, weather forecast and any updated information relating to your itinerary.

If you have any questions about a particular tour, please contact us before booking. We will be happy to clarify important details in advance.
